5.      Committee Reports and Assignments

a.       Management – Gene Pitstick

                                 i.      Design contest in place – no responses yet

                               ii.      Sent Jennifer Smith the suggested ref perks

                              iii.      New Feature – We will collect donations of children’s books from attending teams for Rocking Horse Center.  Jennifer Sheehan will send Gene info regarding appropriate donations

                             iv.      Rivershark will offer CD packages for teams that request, similar to their offering at Troy Strawberry Tourney

                               v.      Jennifer Sheehan says the Rocking Horse nurses will provide basic first aide services again.

                             vi.      We are still exploring the possibility of a Chamber grant

b.      Advertising/Sponsorships – Kirk Box

                                 i.      Assignment - Develop Advertising Plan by next meeting

                               ii.      Assignment – Create ad pricing for program

                              iii.      Kirk has begun contacting potential sponsors for things like carts, tents, refs, balls, corner flags with signage on a bench at tourney site during tourney weekend

                             iv.      Discussed obtaining sponsors for awards – possibly 1 for each age group

                               v.      Kirk will have 2 benches with Tourney info on them at this weekends races downtown

                             vi.      Kirk is trying for multi year deals for the sponsorships

                            vii.      He is still negotiating with Direct Kick for long term Tourney sponsorship

                          viii.      Trying to arrange reciprocal advertising at Jarosi and Troy tournaments

                             ix.      Planning to set up tables to sell ads at tryouts and club picnics

                               x.      Has contacted Columbus Crew and is negotiating a deal for 20 tickets to be a reward to the team generating the most advertising income

                             xi.      After discussion at this meeting he is reorganizing the ad/sponsor pricing schedule

                            xii.      Kirk is developing a card for parents to use to recommend potential sponsors

c.       Program – Cindy Beckdahl

                                 i.      Nothing to report at this time - Most activity will be later this summer

d.      Promotions – Tony Cooper

                                 i.      Unable to attend

                               ii.      The cards are ready and I will pick them up today.  I am trying to think of some cross promotions to tie people, business, and the community to the tournament.  Something to make it more of a community event.  It would be neat to turn the soccer tournament into a town event or celebration of some sort.  Probably something more for next year but we could start with something small this year.

                              iii.      Tony - I will also look into the wireless this weekend.

                             iv.      Kirk Box is obtaining contact lists for coaches from areas outside of Miami Valley

                               v.      We want each coach to send the list of all coaches for their age group to Kirk Box ASAP.

                             vi.      Assignment – Paint Eagle City Billboard back

                            vii.      Assignment - Coordinate a bulk email to MVYSA coaches for early consideration

                          viii.      Assignment – WiFi hotspot availability

                                 i.      Reviewed their assignment as they are new to this committee

                               ii.      Assignment - Develop bid form and potential vendor list

                               ii.      Assignment - Contact local hotels to get specials and rooms blocked off

h.       Personnel – Deanna Brougher and Lisa Webb

                                 i.      Community has been confirmed.  Lisa has spoken with them and they have a new Doctor coming on board and he will be one of the people there that weekend. They request a tent to set up.

                               ii.      Lisa has sent letters out to Krogers, Meijers, Aquafina and Jeff Wyler requesting donations.  I asked Krogers and Meijers for fruit donations for our Refs

                              iii.      Deanna got clarification on cart sources, numbers needed and how transported.

                             iv.      We need to communicate between Kirk Box and Jennifer Sheehan to ensure consistent appeals to donors.

i.         Concessions – Paul Cross?

                                 i.      Jay found that we can do concessions for the tournament.  National Trails says that the new vendor contract at Eagle City allows them to setup on the tournament weekend

                               ii.      Jennifer Sheehan has put out a feeler to Kiwanis to help with concessions as service project

                              iii.      Assignment - Review process and needs with Jennifer

j.        Fun/Special Events – Jennifer Smith

                           i.      Young’s Jersey Dairy will provide a miniature golf hole complete with clubs and balls

                         ii.      Jennifer discussed list of possible activities – face painting, Pepsi Kick, dribble, shoot contests, hair coloring, KISS country, dunking booth, bouncing pit

6.      Club Business – Jay Serve

a.       Cindy Beckdahl has contacted Tom Stafford and info on our tryouts will be in the newspaper in 2 places

b.      Jay is requesting a Team Rep meeting will be Wednesday, May  25 at 8PM at Rocking Horse Center
