3.      Committee Reports and Assignments

a.       Management – Gene Pitstick

                                 i.      Showed prototypes of T-Shirt design and received opinions, will get votes at Club Picnic

                               ii.      5 apps in so far – 1 from Windsor, Canada (told Kirk)

                              iii.      I am completing the paper work with OSYSA and USYSA to host foreign teams

                             iv.      A banner ad for our tourney is now on OYSAN tournament website.  Cost will be $350 for 60 days

                               v.       I will make announcement at MVYSA AGM and send out email to MVYSA coaches

                             vi.      We will be sending emails to coaches that Kirk has come up with email addresses for.

                            vii.      Send number of referees needed for 2005 to Tim (estimate of 55 refs for 2005). I’ve added last years Tourney report to the committee website

                          viii.      Jay has not had any response from Ryan Baker – Team Dayton regarding web links

b.      Sponsor – Jennifer Sheehan

                                 i.      Joan will send Gene book donation info

                               ii.      Kiwanis have not replied yet to Jennifers request for concession help.  Rocking Horse Auxilary willing to help man concessions

                              iii.      Since Eagle Beverage is not an option Jennifer suggested using ACE to print signs.

                             iv.      Walkie-talkies were actually borrowed from Arts Council last year.  Jennifer has made a contact to see if we can use them this year.  Since the Summer Arts Festival is delayed this year we may need another source of radios.  Appointed Personnel committee to search for loaners.

                               v.      Contacting RV company will be by Lisa Webb to look for generator loan

                             vi.       Rocking Horse has 6-8 tables we can use for tourney

                            vii.       Will ask Maines about Radio loan

                          viii.      Talked to Home City about tents

                             ix.      Assignment – send number of rooms used last year to Chris Watkins

              x.   Requested that pharmaceutical vendors be allowed to set up booths in return fro donations – OK’ed

c.       Advertising/Sponsorships – Kirk Box (report submitted via email)

                                 i.      I still have not received all the coaches lists from our coaches for Tony to use. A business card was put in all the team bags at the Jerosi Willis Tournament this past weekend.  Do we have plans to advertise at the MVYSA AGM. 

                               ii.      In anticipation of the club picnic, I would like to provide a handout which each parent can fill out and if possible, commit to an ad at the picnic.  All attending agreed this is a good idea.

                              iii.      I would like to add to the Club web page, a list of sponsors to be maintained all year long to show our commitment to our tournament sponsors.  All attending agreed this is a good idea.

                             iv.      I do not have anymore to report on for a tournament sponsor.  Still going for it though.

                               v.      I have had many people tell me they have someone to contact for an ad.  I plan to go after those people first before I address the list that I have given to Jenny.  Right now I have about 7 ads sold but 3 of them really do not know what size.  I do have the back page sold if no one else purchases it. 

                             vi.      I have also arranged for 8 advertising benches to be displayed around town by June 23. I will fwd layout to Gene when completed.   

                            vii.      I want to make sure I am included in a short presentation at club picnic. Cindy will put you on the schedule and watch the time  you use J

                          viii.      I would like to obtain volunteers for phone calling leads after the mailing goes out June 27.  Do any of the teams have people that would like to volunteer?  I have one person from my team right now.  We can solicit at Club Picnic

d.      Program – Cindy Beckdahl

                                 i.      Has begun assembling materials like maps and directions for program

                               ii.      Asked City Tech to see if we can use internet connection to set up wifi at Eagle City water plant during the tourney weekend – the Tech is checking on potential security problems and will get back to Cindy

e.       Promotions – Tony Cooper (report submitted via email)

                                 i.      Assignment - Coordinate a bulk email to MVYSA coaches for early consideration

                               ii.      Weiss is considering our request for two RV’s.  There may be insurance issues.

                              iii.      I am waiting to hear if the City has Internet access at the water plant building.  If not, I can supply 300K to the admin area for game score reporting.

                             iv.      Promotional Games:

a.       I am working with the Rotary, TAC, and TOPS soccer to develop a promotional game for athletes with disabilities.  My initial thoughts are a 4x4 tournament with four teams to be played on Friday evening.  TOPS (thank you Kirk) is a program sponsored by US Youth Soccer that promotes training for athletes with disabilities.

b.      The TOPSoccer program not only gives young athletes with disabilities an opportunity to play soccer, it also serves as a feeder program to recruit, assess and train players to participate in competitions offered by existing sports organizations for people with disabilities and mainstreams higher ability players on to regular youth soccer teams.  Grant money is available through the TOPS program.

c.       I have two meetings setup for next week to brainstorm with Rotary and TOPS.  It makes sense to try to develop some of the players from the Rocking Horse client base.

d.      I’ll need at least three other club teams/coaches that would be willing to donate some practice time for these kids.  U12G was volunteered by Jennifer Smith, others will check

f.        T-shirt/Awards – Tim Halloran, Laura Fulton

                                 i.      Tim reported on 3 vendor bids – Ace, Primary Spirit, and Advertising Aids

                               ii.      The committee reviewed the bids as explained by Tim and gave Tim and Laura suggestions:

a.       Not to purchase a heat transfer machine this year

b.      Use a screen printed 100% cotton t-shirt and adjust order for smaller sizes

c.       Explore preorder of youth sizes

d.       Use arm bands to replace the patch gift

e.      Select an award different than bobble head

g.       Site – John Berry

                                 i.      Assignment - arrangements for over night security

                               ii.      John has contacted Home City Tents – they will offer same prices as last year.  John has made reservations and gave Cindy the invoice

                              iii.      John has contacted vendor RR facilities, Country John and scheduled double last years number. How many, how much?

                             iv.      Assignment explore cost of additional dumpster if National Trails can’t help

h.       Housing/Registration - Chris Watkins

                                 i.      We have made progress working with Anne Emmons from the Chamber of Commerce.  I will update the website tomorrow after the meeting.  We are still waiting on responses from some of the hotels.  It looks as though we will end up with several hotels since none can commit to a large number of rooms.

                               ii.      Lack of a track record is hampering efforts to reserve rooms.

                              iii.      Jennifer will get numbers of rooms used that we reported for last year to Chris

                             iv.      Marriott will not reserve any rooms

                               v.      Wittenberg events are the same weekend

i.         Personnel – Deanna Brougher (unable to attend but sent email report) and Lisa Webb

                                 i.       Deanna - I talked to Dan D'Arrigo...Windy Knoll...he guaranteed 4 carts...I am working on a fifth from him.  I Have given him Kirk's info to send ad print.  I have one cart for sure from Misty and she said as it gets closer she will look into possibility of second cart if I call her back...I will.  I know I can get at least one or possibly two from North so I think we will be in good shape.  Misty said she will recommend to the contracted trashhauler that they pick up Sat and Sunday, but no guarantees.  She will also mention a larger dumpster, but again no guarantees. I am going to put our conversation in writing so that she will also have a copy.

                               ii.      Assignment - Have sign sheets at  Club Picnic to generate list of worker volunteers (include an option to be a caller for Kirk)

                              iii.      Assignment – Generate a list of potential people who would loan us their portable radios for tourney

j.        Concessions – Paul Cross (represented by Len DeOto)

                                 i.      Assignment - Review process and needs with Jennifer

                               ii.      Assignment – contact Health Department to schedule inspection during tourney

                              iii.      See if White Castle or ? will donate coffee

                             iv.      See if Schulers will lower their price for us (Crispy Kreme is an alternative)

                               v.      Jennifer contacting Kiwanis for concession help

k.      Fun/Special Events – Jennifer Smith

                           i.      Spaghetti super/movie for Saturday evening will not be considered for this year

                         ii.       Jennifer is working on securing sponsors for the costs of the dunk booth ($175 per day) and Moon Walk ($275 per day).  Sheriff Deputies are one potential sponsor.

                        iii.       She is working on a real cool event sponsored by Frigidaire (trying to kick ball in an open washer/dryer for a prize)

4.      Club Business

a.       Clinic and tryouts were successful

b.      If additional players needed you could use News section of MVYSA to advertise

c.       Website updated for 2005-6 – Advise Tony or Gene of corrections

d.      Several are working on finding needed coaches for U9B, U11B, U10G

e.       Club Picnic – 6/25 12:00 noon-2:00 PM at eagle city
