a.       Management – Gene Pitstick

                                 i.      47 apps in – 35 from outside and 12 Thunder teams. We have accepted 42 teams, 24 have confirmed, and 35 have sent in their checks.  Blue numbers below are Thunder teams.

                                ii.      The deadline for submitting an application was extended to July 24.

                              iii.      A second round of Emails was sent to all MVYSA coaches, all OSYSA coaches on the email list, and all teams that attended last year.  An appeal to recruit teams was sent to teams that have applied this year with a $20 per team recruited reward. No takers yet.

                             iv.      I’ve sent emails and made calls to teams who have not paid yet.

                               v.      I have added Trophy Sports from Xenia as a soccer equipment vendor and SSR Graphics as a vinyl sticker vendor.

                             vi.      I updated the package of documents that each coach receives when his team is accepted.

                            vii.      Sent a plea to all Thunder coaches for names and phone numbers of coaches in their age group.  No responses.

                          viii.      The t-shirt front design was sent to Primary Spirit.  A preorder form was created and is being distributed to all coaches.

                             ix.      Hawaiian shave ice vendor turned down after consulting Ice cream vendor

                               x.      Ordered balls (4’s and 5’s), pennies (day-glow orange for field marshals), and corner flags (3 sets).  Balls will be used for game balls by the club this fall.  Corner flags will go to new coaches.

                             xi.      Suggest announcement at divisioning meeting and calls be made after divisioning meeting to fill in brackets

                            xii.      Jennifer Smith agreed to get list from Matt Zartman and call U11B teams

b.      Ref assigner – John Kingham

                                 i.      John reported 58 refs signed up

c.       Sponsor – Jennifer Sheehan – on vacation (back Aug. 2nd?)

                                 i.      Paul Cross said Vince Chase has been contacted and we can use Catholic Social Services loan of refrigerated truck for tourney

                               ii.      Kirk will call Tom Pamer about sign painting/printing

                              iii.      Lisa Webb said that food donations for refs from pharmaceutical companies is good to go

                             iv.      Status of contact Health Department to schedule inspection during tourney?

                               v.      Status of trinket donations from pharmaceutical companies?

                             vi.      Status of field sponsors?

                            vii.      Do we need to contact rotary about payment for the 4 handicapped porta-johns?

d.      Advertising/Sponsorships – Kirk Box

                                 i.      No solution for tournament sponsor (naming rights in return for $500 for 1 yr or $8000 for 2 yr.) found.  Still trying with Gordon Food Service

                               ii.      Tickets for Happy ads are being distributed by Kirk to all coaches – Contact Kirk if he doesn’t get you first

                              iii.      Walmart appeal (they didn’t pay the $100 promised last year) – Kirk plans to contact soon.

                             iv.      Status of ads sold?

                               v.       The leaders helped Kirk assemble a list of those who should receive comp ads and those to be on a thank you list in program.

e.       Program – Cindy Beckdahl – on vacation

                                 i.      Status of over night security?

     f.        Promotions – Tony Cooper - absent

                                 i.      Status of Weiss RV’s? we discussed looking for alternative for this – see Paul Cross report

                               ii.      Status of Dream Soccer Games?

g.       T-shirt/Awards – Tim Halloran - absent, Laura Fulton – at fair

                                 i.      Status of Laura;’s check with Northwestern about borrowing their cart(s)?

                               ii.      Updated patches ordered by Tim on 7/26

                              iii.      Tim will order 55 pair socks for ref perk

                             iv.      Tim is proceeding with orders for t-shirts, awards, etc.

h.       Site – John Berry

                                 i.      Coverage until security arrives – Lady committee members party on Friday evening, Gentlemen committee members party on Saturday

                               ii.      All agreed to increase total numbers of porta-johns to 16 (John - get 12 from Country John!)

                              iii.      The cost of an additional dumpster from Rumpke was $240.  Deaana will attempt to find altenative from among Mann, Vince, and County Wide

                             iv.      Corner flags - gene has 3 sets ordered, John wants all coaches to get their corner flags to him by Thursday Aug. 11

                               v.       John and Gene will be on site on Friday to coordinate setup

i.         Housing/Registration - Chris Watkins - absent

                                 i.      Paul has ordered food for registration

                               ii.      Kirk said u9 and U10 girls parents will do registration and concessions setup on Friday August 12

j.        Personnel – Deanna Brougher and Lisa Webb

                                 i.      They have received the volunteer requests from other committee leaders.  Deanna gave Paul Cross the volunteer list from club picnic after striking names already promised to other actions

                               ii.      Deanna said 8 carts are lined up.

                              iii.      Ref food covered

                             iv.      Lisa says she will get donuts for refs/workers from Krispy Creme

k.      Concessions – Paul Cross

                                 i.      Agreed that generator size would be 10 KV (Jay).  Paul will ask Laughlin Scanlon about trailer with ac and security light possible loan.

                               ii.      Paul meet last week with Jennifer Sheehan and they did concession planning

                              iii.      Gene will bring a spare gas grill

                             iv.      300 pounds of charcoal to be purchased

                               v.      Paul has health dept permit completed

                             vi.      Gene will provide cash box, power cords and multiple outlets

l.         Fun/Special Events – Jennifer Smith

                           i.      Moonwalk resourced at much cheaper price - $200

                         ii.      Suzy Pullins checking to see if we can use NW dunk booth

                        iii.      Gene will provide cash box

                       iv.      Tickets will be 4 for a $1 or 25 for $5, Jennifer will set activity costs

                         v.      Jennifer will purchase face paint and hair color spray with remainder of $500 grant from Career Builders

                       vi.      Gene will ask Steve Dawson if they have a flat goal we could use

4.      Club Business – Jay Serve

a.       New MVYSA player registration up

b.      Matt Zartman will coach U11B

c.       Discussed a possible U13G trade with Matt Dudon Tourney – John Berry is not interested – to soon
