Springfield of Dreams Charity Cup – August 9 Meeting Report 1. Committee Reports and Assignments a. Management – Gene Pitstick i. We are at 49 teams with potential 50. We lost the Thunder U9G and Windsor U11B teams. The U9G team was removed prior to the final schedule that went to press. I have rescheduled the U11B bracket and notified coaches this afternoon. I added a U14G today and U13G today. I will reschedule those brackets and publish a schedule addendum to go in the program. ii. Schedule completed and formatted for program. Sent it to printer last week. iii. Coordinated with Caroline Struewing at Primary Spirit with final design of t-shirt back and front. iv. Have received the corner flags and balls for tourney. v. Distribute cash boxes vi. Tony is supplying laptop and I will use a north soccer player to enter scores in admin tent. vii. I have site maps for those who need copy b. Ref assigner – John Kingham i. We will have 56 referees working the tournament, with approx 30-32 working each day ii. John brought radios being loaned by Ohio Cup iii. What will be cash needs for refs? $56 per game for U10-U12 and $64 per game for U13-U14. Cindy will get cash and it will be delivered to John on Thursday iv. John will print game cards v. John will loan us 10 water jugs for fields from Troy Strawberry Festival c. Sponsor – Jennifer Sheehan i. Do we need to contact rotary about payment for the 4 handicapped porta-johns? d. Advertising/Sponsorships – Kirk Box i. Status of Spirit Messages? Earning $700 ii. Status of Walmart appeal (they didn’t pay the $100 promised last year)? No luck iii. Status of ads sold and copy? Copy to printer, $2100 to be paid in for ads iv. Status of call to Tom Pamer about sign painting/printing? Jennifer has made arrangements at $13 per sign v. Send a list of advertisers and logos to Gene for website vi. Jay will send out thank you letters e. Program – Cindy Beckdahl i. Status of over night security? Arranged with policemen ii. Status of Program? Being printed iii. Obtain start-up cash –review needs for t-shirt ($500 in $5’s), concessions($300 in ones, fives and quarters), fun area (100 in fives and 50 in ones) f. Promotions – Tony Cooper (absent) i. Status of Dream Soccer and Friday Dream tourney? g. T-shirt/Awards – Tim Halloran, Laura Fulton i. Status of Laura’s check with Northwestern about borrowing their golf cart(s)? No response ii. Status of T-shirts, patches, awards, and medals orders? All orders ok i. Status of donation of pork chops? No donation iii. Status of T-shirt preorders? Laura and Tim will have them at registration iv. Status of scheduling sales workers? OK v. Reminder of job to handle awards Sunday h. Site – John Berry i. Chairs and tables? We did have 15 tables in tent rental and Maletic helped get tables and chairs from St. Teresa’s
ii. Corner flags - Gene has 3 new sets, Miste says we can use any or all of those in storage building. iii. Check on penalty spots - OK iv. John and Gene will be on site on Friday Aug 12th to coordinate setup i. Housing/Registration - Chris Watkins i. Status of bag stuffing? OK ii. Status of registration worker scheduling? OK iii. Have registrations workers arrive early to be trained j. Personnel – Deanna Brougher and Lisa Webb i. Status of extra dumpster? Will cost $50 from Vince ii. Status of Carts and ref food? OK, Lisa’s dad will deliver cart and leave a large lockable trailer for weekend at admin tent, Laura Fulton’s dad will help transport 2 carts from North and return on Sunday evening. iii. Status of cleanup crew, grounds cleanup, and parking monitors? OK iv. Lisa will get cots from red cross for first aide tent v. Deanna will get cups for water jugs k. Concessions – Paul Cross ii. 10KV generator and 2 security light will arrive? Late Friday afternoon iii. Status of worker scheduling? OK iv. Status of equipment and food? OK l. Fun/Special Events – Jennifer Smith i. Status of dunk booth and other events? OK ii. Status of workers? OK iii. Gene and Jay will erect a net to backstop speed timer 2. Club Business – Jay Serve a.
