Tourney Meeting April 18

Springfield Thunder is preparing to host our second Springfield of Dreams Charity Cup.  A successful club tournament needs active support of the members.  On Monday March 18 at 8:00 PM I will host an organizational meeting for leadership for the second annual Springfield of Dream Charity Cup.  My goal is to have a well organized meeting that will end at 9:30 PM.  To have a successful second year we all need to share the work.  Therefore I’m requesting with the support of the club board that each team have at least one person representing them at the meeting.  I live at 4305 Phoenix Drive in Northridge.  Middle Urbana north of 334, left on Reno, 1st right on Phoenix, house is on the left just past the first cul-de-sac.  I want to assemble the group, review the process, assign tasks, and plan our next meeting.  These people volunteered earlier: Deanna Brougher, Chris Watkins U9G, Lisa Web U14G, and Robin Dimicheal U12B.  Would you help me notify them?


 

  1. Advertising/Sponsorships
    1. Coordinate ad and sponsorship solicitation (teams submit contact list and access level)
    2. Gather needed print materials for ads and sponsors then submit in timely manner to Program and Promotion committees
    3. Coordinate money collection with detailed records, forward all money to treasurer
    4.  Coordinate any offered services with proper committee
  2. Program
    1. Select printer and coordinate
    2. Design layout, assemble materials (ads, schedules, rules, etc.), submit to printer
    3. Final assembly/corrections (if needed)
    4. Transport programs to Registration committee
  3. Site
    1. Coordinate with National Trails on field setup including corner flags
    2. Secure and coordinate placement of tents
    3. Secure and coordinate placement of ample restroom facilities and TP
    4. Obtain transportation - carts
  4. Personnel
    1. Secure and coordinate Sports Med support
    2. Schedule and coordinate field marshals and parking management
    3. Coordinate referee food (obtain and maintain)
    4. Coordinate grounds cleanup
  5. Concessions
    1. Obtain and schedule manpower to man food tent
    2. Obtain food
    3. Obtain equipment
    4. Secure all monies and bills, make needed records, and transfer to club treasurer
    5. Coordinate area clean up
    6. Obtain permits where needed
    7. Coordinate return of all equipment and remaining supplies
  6. Fun/Special Events
    1. Coordinate any special activities like rides, games, or displays

 

 

Volunteers will receive lots of support from the coaches.  Several positions have already been filled.  Positions will be removed from above as they are filled.
